When an employee leaves, their Fusion Team Hub data is safe as it's owned by the hub, not the user. Simply manage their access and reassign roles.
Employee Departures and Your Fusion Team Hub Data
One of the most powerful features of a Fusion Team Hub is its centralized approach to data ownership. Unlike locally saved files or legacy single-user cloud storage, all projects and files created within a Team Hub project belong to the hub itself. This design ensures that when an employee leaves, their contributions, version histories, and project files are not lost. The data remains exactly where it is, fully accessible to the remaining team members.
Steps to Take When an Employee Leaves
As a Team Hub administrator, follow these steps to ensure a smooth and secure transition.
1. Review Project Roles
Before removing a user from the hub, review their role in each project they worked on. The most critical role to check for is Project Admin.
- If the departing employee is the only Project Admin on a critical project, you must promote another member to Project Admin first.
- Failure to do so could leave a project without an administrator, making it difficult to manage members and settings later.
- To do this, navigate to the project, select the People tab, find a trusted team member, and change their role to Project Admin.
2. Remove the User from the Team Hub
Once you have ensured all projects have an active administrator, you can safely remove the employee from the hub.
- As a Team Admin, sign in to the Fusion Hub on the web.
- Click your initials or profile picture in the top-right corner and go to Admin.
- Navigate to the Members and Roles tab.
- Find the employee in the list, click the manage icon (often three dots or a gear), and select Remove.
Removing a user immediately revokes all their access rights to every project within that Team Hub. They will no longer be able to view, edit, or download any of the hub's data.
3. Reassign and Review Active Work
While the data is safe, the workflow may be interrupted. The final step is a practical one:
- Review active projects: Identify any designs the employee was actively working on.
- Communicate with the team: Formally reassign ownership of their ongoing tasks to other designers or engineers to ensure project continuity.
A Note on Data Saved Elsewhere
The protection offered by the Fusion Team Hub only applies to data saved within the hub. It's a best practice to have a company policy requiring all project-related work to be saved exclusively in the designated Team Hub projects, rather than on local desktops or personal storage drives. This ensures that your company's intellectual property is always secure and centrally managed.
